As the Associate Director, Clinic Operations you would be accountable for all areas related to the clinic, its team and function, reporting to the Senior Director, Clinic Operations. You would be responsible for leading the clinic, executing strategic initiatives, and ensuring programs and services are delivered to the highest clinical and client experience standard. This role oversees a continuous cycle of improvement to enhance workflow, performance, and experience for team members and clients. In addition, you will contribute to the ongoing evolution and scalability of our Toronto operations as the market continues to grow. You would be responsible for leading and supporting the team to deliver a personalized client experience by creating a culture of Innovation, Compassion and Excellence.

What You Bring & Credentials

  • Relevant Management Experience: 6-10 years of people management experience in an environment where client experience is paramount. Previous experience in private healthcare, hospitality, or similar sectors will be considered an extreme asset.
  • Industry Knowledge: Top candidates will possess a strong understanding of private healthcare delivery and the OHIP system, coupled with a genuine passion for wellness and the prevention of disease.
  • Growth & Mentorship: You can demonstrate experience in a growth environment where you have managed others in a mentoring and fun way. You have a history of fueling a positive culture while ensuring a productive, high-performing team.
  • Operational & Financial Acumen: Experience effectively prioritizing workflows, managing schedules, and understanding budgetary requirements to balance operational needs with organizational goals.
  • Process Improvement Skills: Capability to develop resources, training materials, and Standard Operating Procedures (SOPs) to drive consistency and efficiency.
  • Tech Proficiency: Proficient in Microsoft Office applications (Teams, Excel, PowerPoint) and comfortable using analytics to drive decision-making.
  • Communication Mastery: Excellent interpersonal, written, and verbal communication skills, with the ability to adapt to change and innovate effectively.

Operational Leadership: Partner with the Senior Director, Clinical Operations to oversee daily clinic management, ensuring all programs and services meet the highest standards of clinical care and client experience. • Team Development & Culture: Champion our values of Compassion, Innovation, and Excellence. You will lead, mentor, and support the clinical and non-clinical teams, creating an environment where team members are motivated, supported, and encouraged to be their best. • Client Experience Excellence: Oversee the delivery of personalized client care. You will gather feedback, address client concerns, and implement quality assurance measures to ensure timely, personalized responses and a welcoming environment. • Regulatory & Process Compliance: In partnership with the Senior Director, ensure the clinic adheres to all regulatory requirements (e.g., College of Physicians and Surgeons) and internal Standard Operating Procedures (SOPs). You will contribute to the creation and maintenance of training materials, emergency protocols, and compliance measures. • Resource & Budget Management: Assist in managing the clinic’s budget, balancing operational costs with company goals. You will also oversee resource planning, including recruitment, onboarding, scheduling, and inventory management to ensure the clinic is fully equipped to deliver safe, effective care. • Data-Driven Improvement: Utilize EMR analytics and reporting tools to evaluate capacity, client volumes, and KPIs, identifying opportunities to enhance efficiency and support sustainable growth. You will provide recommendations to leadership to optimize workflow efficiency and enhance the overall client experience. • Strategic Collaboration: Build collaborative relationships with cross-functional departments (Business Development, Finance, People & Culture) to ensure alignment on operational requirements, support clinic growth initiatives, and maintain consistency in client experience as the Toronto market expands.
